Cleaning up old accounts
Standard operation is to clean up the books for the current financial year. Anything older than that is considered historical accounts and is quoted for additionally.
Billing
It is important to do the billing as soon as possible to avoid negatively impacting the cash flow.
Follow-up support for patient accounts submitted to medical aids
We provide proactive follow-up on all patient accounts submitted to medical aids. This includes tracking the status of claims, identifying unpaid or short-paid accounts, and resolving queries or rejections with the medical aid and debtor. Our team ensures that no account is left unattended and that your practice receives payment as quickly and accurately as possible. We also keep you informed with regular updates and assist with resubmissions where necessary.
Payment receipting
We accurately record and allocate all incoming payments from medical aids and patients to the correct accounts. This ensures your practice’s financial records are always up to date. Our receipting process includes reconciling payments with remittance advice, identifying any discrepancies, and flagging shortfalls or overpayments for quick resolution. Reliable receipting helps maintain clean accounts and supports accurate financial reporting.
Credit control support
We help your practice maintain healthy cash flow by managing outstanding patient and medical aid balances. Our credit control services include identifying overdue accounts, sending timely reminders, following up on unpaid invoices, and liaising with patients or medical aids to resolve payment delays. With consistent and professional follow-up, we reduce your debtors’ book and ensure your revenue cycle stays on track.
Account finalization
We ensure every patient account is accurately completed and closed once all services have been rendered and payments received. This includes verifying that all billing, payments, and adjustments are correctly recorded, and resolving any outstanding issues with medical aids or patients. Our meticulous finalization process helps maintain clean financial records and prevents future disputes or follow-ups on closed accounts.
Monthly reports

We match payments received in your bank account to patient and medical aid accounts to ensure accurate financial records. This process involves cross-checking bank statement entries against invoices and remittance advices, identifying any discrepancies, and ensuring all funds are correctly allocated. Proper reconciliation improves cash flow tracking, reduces errors, and supports clean and reliable bookkeeping for your practice.
We won’t need to change your bank account, software, or staff. Our goal is to work with your existing setup and streamline the process. That’s why we don’t offer a fixed pricing structure. Instead, we’ll provide a quote based on the specific amount of work involved, rather than your practice’s income.
We also review the original contract every four months to ensure our fee remains aligned with the actual workload. This means the cost to your practice may decrease over time, especially as historical tasks are completed and no longer require ongoing attention.
